1. Our Pledge to You

We treat your data as if it is our data, ensuring that it remain private, confidential and centrally, secret unless we obtain your prior approval to share it outside of the norms and conventions of “Legitimate Interest”.  

This privacy notice (“Policy”) applies to the use of your Information by Yarmouth Heliport Limited (Data Controller) with company number 13844014 and all businesses that operate alongside; North Denes Airfield (Holdings) Limited and registered in England and Wales with their registered addresses at North Denes Airfield, Yarmouth Road, Caister-on-Sea, Great Yarmouth, NR30 5TE. 

We use your Information in accordance with our Policy, in respect of each of our commercial and business activities including events, websites, portals, applications and/or related services (“Service”). Within our Policy, the term “Data Controller” relates to the purpose and means of processing data to deliver our events.

2. YOUR INFORMATION

2.1. How we collect it:

(a) We collect your Information when you:

(i) Visit our websites, register and generate log-ins via the Portal or other applications;
(ii) Contact us, whether by telephone (including mobile device), email or in person;
(iii) Register to attend an Event;
(ii) Apply for stand space;
(iii) Attend an Event as either an exhibitor or a visitor;
(iv) Download content from our website; 
(v) Register for a newsletter or newsfeeds via our us of Social Media platforms;
(vi) Register via a click to be informed of news within our network community

(b) We collect your Information as you enter data to register, log-in or use our Portal (as set out at Section 2.2(f) (“What we collect”)) which happens automatically, including electronic interaction which delivers operational cookies. Please see our Cookies Policy for more information.

(c) We may also collect your Information to enhance your experience with us in accordance with this Policy from publicly available social media sources and some third party data gathering and prospecting platforms that provide analytical, technical and data aggregation service providers, who gather their data from multiple data sources, proprietary or AI algorithms, and data network contributors.

2.2.  Data we collect: 

(a) Contact details, such as your name, email address, postal address, social media tag, telephone or mobile-phone number;
(b) Your organisation and the job title or function you perform;
(c) Account login details/credentials;
(d) Other account or Event registration and profile information, such as educational, employment and professional background, and any data that helps us help you;
(e) Payment information;
(f) Comments, feedback and information that you provide to us including during any interaction with us and/or our various teams; 
(g) Your interests;
(h) Your communication preferences;

(i) Information about how you and your device(s) interact with our service(s), including technical identifiers, usage data, and location and related analytics.

2.3. How we use it:

Depending on which Service type you use, your relationship with our teams and how you interact with our Company, we will use your Information as set out in this document, that also sets out the legal basis for using your Information.  Where we use your Information for a Legitimate Interest, we consider this against your privacy rights to safeguard you and ensure it does not materially impact or lessen your privacy rights.

Types of Use

(c)    To provide our best endeavours to comply with our legal obligations;

3. Deliver a high customer care experience, technical support and security; 

(a)    To perform a contract with you, to exhibit or visit;
(b)    To provide our best endeavours to comply with our legal obligations;
(c)    For our Legitimate Interest in monitoring and interpreting your use of, and improving our Services delivery to you and other users;

4. Provide you with updates, announcements whether educational or operational and other news related to the Services we provide;  

(a)    To perform a contract with you;
(b)    For our Legitimate Interest in developing and building our relationship with you and proving enhanced services to you;

5. To deliver targeted promotional or educational communications, adverts and other notices and information in relation to the services we provide, our third party affiliates, such as sponsors and media partners or anyone related to the business of exhibiting (subject to Section 2.4 (Direct Marketing);

(a)    For our and selected third parties’ Legitimate Interests in providing additional services or material to you;

6. Call monitoring for training and quality monitoring purposes, including the recording of sales and/ or marketing calls made to you or received from you.     

(a)    To perform a contract with you;
(b)    For our Legitimate Interest in monitoring and improving our relationship that we build with you;

7. Invite you to take part in client/user testing, surveys, competitions and/or any related promotions;    

(a)    For our Legitimate Interest in improving, customising and enhancing our Services to you and other clients/users;
(b)    For our Legitimate Interest in developing our relationship with you and providing enhanced services to you and other clients/users;

8. Identify usage trends, provide interpretations of same and develop a data analysis, including for research, audit, reporting and other business and commercial purposes save, but not for resale; 

(a)    For our Legitimate Interest in improving, customising and enhancing our Services to you and other client/users;

9. Disclose data to selected third parties in accordance with this Policy;  

(a)    To perform a contract with you;
(b)    For our Legitimate Interest in offering and/or delivering complimentary services to you;
(c)    To provide our best endeavours to comply with our legal obligations;
(d)    In some circumstances, where you have provided consent;

10. Send you notices and requests in relation to the Services to undertake our business with you, such as to collect payment and advise of same by third party acknowledgements.     

(a)    To perform a contract with you;
(b)    For our Legitimate Interest in resolving complaints, grievances and/or disputes and where necessary enforcing our agreements.

2.4.   Our Direct Marketing

We will only contact you with direct marketing communications (“Direct Marketing”) where we are lawfully permitted to, or have a lawful basis to do so because you have engaged with us by requesting information or using our Services, unless you have specifically “Opted Out” of receiving Direct Marketing. You may opt out from receiving our or business related third party Direct Marketing at any time by using the “Unsubscribe” or “Manage my Preferences” link included within each electronic communication, or in the case of telephone marketing by notifying us on the call. 

In particular you can choose to no longer receive marketing emails from us by contacting us by email, or clicking the Unsubscribe from all in the marketing email.  Please note that it may take us a few days to update our records to reflect your request.  If you do ask us to remove you from our marketing list, we will need to keep a record of your name and related email address to ensure that we do not send to you marketing information in the future, save, which excludes educational information. 

3. Third Parties

3.1. Service Providers

We use numerous third-party service providers from differing verticals to enable us to successfully operate our business. As trusted suppliers to our Company, they process your Information on our behalf where appropriate in respect to: 

(a)    The facilitation of services you may have requested from us;
(b)    Data storage and hosting; 
(c)    IT and Cyber Security;
(d)    Workplace productivity and e-mail services;
(e)    Customer relationship management;
(f)    Marketing automation, solutions, social media and analytics;
(g)    Communications services;
(h)    Project management and Event planning services and platforms;
(i)    Sponsorship for purpose of improving delegate experience;
(j)    Event experience services and analytics;
(k)   Website, iOS and Android Application development and hosting;
(l)    Card processing, accounts receivable, accounts payable and credit control; (m)  Professional advice (e.g supplied by accountants, tax specialists, financial advisors, lawyers and other service specialists).

3.2. Other Third Parties

We may share your information for our Legitimate Interests with

(a)   Other Companies with common shareholding; to develop, modify, enhance and/or improve our service delivery, communications for the benefits of our customers and/or to recommend related products that may be of extended interest.
(b)    Purchasers or sellers of a business or asset; in the context of a sale, merger or acquisition, whether in part or full, to facilitate such a transaction and/or enable your interaction with the Event organisers despite any potential change in ownership.
(c)    Business partners; we work with numerous enterprises to provide goods and services that are complementary to our own. We only share information with them where (i) you have requested services from us that they provide or (ii) where they are already known to you, and you have directed us to act as your conduit for consolidation of services. 
(d)    Google Inc.; as part of the Google Analytics service, information is shared with Google on an aggregated and anonymised basis. For more information please see the partners page of Google’s privacy policy located at the following URL: here
(e)    Event attendees, exhibitors, visitors, partners and/or other participants where you have specifically requested a networking service from us in relation to an Event including the sharing your Information with these third parties forms consent.
(f)    Event sponsors when you register for, or attend a presentation or session or other part of our Event(s) that is sponsored by them. 
(g)   Event exhibitors when you visit that exhibitor’s stand and permit your visitor badge to be scanned at their stand, which will be using our App (under development). 
(h)   Event service suppliers, such as suppliers of the following services; illustratively, show guide production, creative design for stand graphics, furniture hire, registration/badges and accommodation and more.

3.3. Third Party Websites

If you choose to visit a third-party website in relation to our services, please be aware that your Information will be used in accordance with the privacy policy of that third-party as published on their website, which may differ from ours of which we have no authoritative control.

4. Data Retention

We retain your Information for no longer than necessary in respect of the purpose(s) for which it was collected. Our data retention procedures take into account the extent to which retention of your information is required to best provide you with and develop our products and services, manage your relationship with us, meet our statutory, contractual, legal, accounting and audit obligations. If we have anonymised your Information, we may continue to use this information indefinitely.

How long we keep your data for;

We only keep your personal data for as long as is necessary to fulfil the purpose we collected it for. This includes keeping it for legal, accounting or reporting requirements.

(a) Enquiry data is held for six months after dealing with the enquiry, and then deleted unless a Legitimate Interest arises

(b) Contractual data is kept for 6 years after the end of the contractual relationship for tax and legal and audit purposes

(c) Business development data is kept for two years after the development activity but may be kept for longer in an anonymised format to provide historical insight into business operations

(d) Direct marketing data is kept until you unsubscribe from our marketing lists

(e) If you have not unsubscribed from our marketing lists and are not engaged with any of our content, we reserve the right to remove you from our marketing lists after 7 years

(f) At this point your personal data will be anonymized within our database, and you will only be contacted again should you re-subscribe to our marketing list and/or register for any of our in-person contact or online events

(g) Recruitment data is kept for one year for unsuccessful applicants

(h) In some circumstances you can ask us to delete your data: see below section 7. “Your Rights”.

5. Transferring your Information outside the UK

The information you provide to us may be transferred to countries outside the UK, including for example if our trading partners or affiliates, services or servers or those of our service providers are from time to time located in a country outside of the UK. If we transfer your information outside of the UK, we will take appropriate security and other measures with the aim of ensuring that your privacy rights continue to be protected as outlined in this Policy and as required by law. These measures may include entering into contracts that require the protection of your Information and/or specific contractual terms approved by the UK Government.

6. Data Security

We employ appropriate technical and organisational security measures to protect your Information, including from accidental loss, unauthorised use or disclosure.  

These security measures include;

(a) Limiting access to your Information to those who have a genuine business need to access it, who do so in an authorised manner and subject to a duty of confidentiality.
(b) Maintain the integrity and availability of our technology systems;
(c) Ensuring adequate data and disaster recovery processes; and
(d) Monitoring the effectiveness of our security  measures. 

We have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

7. Your Rights

Where we process your personal data, you can;

(a) Access and obtain a copy of your data on request

(b) Require us to change incorrect or incomplete data

(c) Require us to delete, or stop processing your data, for example where the data is no longer necessary for the purposes of processing

(e) Request us to restrict processing of your personal data, but define the nature and limit of the restriction

(e) Request the transfer of your personal data to another party and confirm in writing to ensure an accurate migration

(f) Object or challenge the processing of your data where the company is relying on its Legitimate Interests as the legal ground for processing, which we will examine with you

(g) Withdraw your consent fully, resulting in the deletion of you data and information from our files

You can help us keep your personal data accurate and up to date by keeping us informed if your personal information as it changes.

You will not have to pay a fee to access your personal data or to exercise any of the other rights under data protection laws. However, we may charge a reasonable fee if your request for access is excessive, unfounded or you request additional copies or repeatedly. Alternatively, we may refuse to comply with the request in such circumstances.

We may need to confirm your identity before we can ensure your right to access the information (or to exercise any of your other rights). This is to ensure that personal information is not disclosed to any person who has no right to receive it.

8. Sensitive Information

If necessary to enable you to fully benefit from, and participate in our Services, we will process your dietary restrictions or preferences, or physical access requirements, on the basis they are declared and only with your explicit consent. 
We do not otherwise knowingly or intentionally collect Sensitive Information and we request that you do not submit Sensitive Information to us, unless you believe the advantage of doing so sits with you, perhaps for health and safety reasons. If you inadvertently or intentionally submit Sensitive Information to us, you will be considered to have explicitly consented to us processing it for the purpose of its eventual deletion as declared earlier in this document. 

In this Section 8, “Sensitive Information” is information about an individual that reveals their racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, genetic information, biometric information for the purpose of uniquely identifying an individual, photo ID or information concerning health or information concerning a natural person’s sex life or sexual orientation.

9. Minors

We do not knowingly contact or collect Information from persons under the age of 16 (“minors”). 
If we become aware that a minor has provided us with Information, we will take steps to delete such information.

10. Complaints and Questions

If you wish to raise a complaint or question about how we use your Information, please contact the Data Protection Officer at data@yarmouthheliport.co.uk.  If you are unsatisfied, you may also contact a data protection supervisory authority, for example the UK Information Commissioner’s Office.

11. Changes to this Policy

We will occasionally update this Policy by posting a revised version on our website(s). We encourage you to periodically review our website(s) and this Policy to be informed of how we use your information.
